Thank you for your interest in sponsoring Tampa Bay VegFest! To participate, all sponsors must agree to and comply with the following terms and conditions.

  1. Application & Approval
    • Discretionary Approval: Tampa Bay VegFest reserves the right to accept or decline any application at its sole discretion.
    • Individual Commitment: Each sponsor must submit an individual application and payment. Shared sponsorships or booths are not permitted unless approved in advance.

  2. Event Timeline & Materials Review
    • Inventory Restrictions: Sponsors may only exhibit, sell, or give away the specific merchandise, literature, and services approved in their application.
    • Inventory Deadline: By October 13, sponsors must submit a complete list of all items to be displayed, sold, or given away.
    • Media Release: Photos and videos of you, your staff, and your booth may be used by Tampa Bay VegFest for outreach, education, marketing, or other promotional purposes.

  3. Food & Animal Welfare Policies
    • Strictly Vegan: All food sold or distributed must be 100% vegan (free of animal flesh, fat, broth, gelatin, egg, dairy, and honey) and should be as environmentally friendly as possible.
    • Animal Rescue Policy: Participating animal rescues (or any organization/individual) must not breed animals, nor promote or support breeding. All animals must be spayed or neutered prior to adoption once they are of appropriate age.

  4. Booth Setup & Equipment Requirements
    • Event Schedule: Setup begins at 7:00 AM. Exhibits must be fully staffed for the duration of the event from 11:00 AM to 5:00 PM.
    • Logistics: Sponsors are entirely responsible for the setup, teardown, and removal of their own materials. We strongly encourage bringing hand trucks or wagons to transport heavy items into the park.
    • Tents & Tables: Sponsors must provide their own tables (8 ft. maximum) and tents (10′ x 10′ maximum / 100 sq. ft.).
      • Tents are highly recommended as this is an outdoor event.
      • Tents must be placed a minimum of 2 feet apart.
      • All tents must be weighted; staking into the ground is strictly prohibited.
      • Any tent larger than 10′ x 10′ requires a permit obtained from the City of Tampa Fire Marshal well in advance.

  5. Safety & Environmental Restrictions
    • Signage: Exhibits must feature clear signage identifying the sponsor’s name.
    • Balloons Prohibited: No balloons of any type or material are allowed on the festival grounds.
    • Fire Safety: By order of the Fire Marshal, all food vendors cooking/heating onsite and/or utilizing a refrigerator must have a functioning fire extinguisher at their booth.

  6. Liability, Cancellations, & Weather
    • Interruption of Event: If a contingency interrupts or prevents Tampa Bay VegFest from taking place—including but not limited to inclement weather, health emergencies, war, terrorism, or lockouts—coordinators will make every effort to reschedule the event for a nearby weekend. However, rescheduling is not guaranteed.
    • Liability Waiver: Sponsors agree to make no claim for any reason against event coordinators or the City of Tampa for loss, theft, damage, or destruction of goods, nor for injury to themselves, employees, volunteers, or visitors incurred at the event.
